Organize documents around the work
A useful archive helps a colleague identify which company and process a document belongs to. Agree on a small set of consistent naming and organization rules before importing files.
Keep the source document connected to the work it explains. A folder name alone may not identify the customer, reporting period or reason for retaining a document.
Test retrieval with a fictional example
Ask a colleague to locate a fictional supplier document for an agreed company and period, then explain which workflow it belongs to. Review ambiguous names or missing context revealed by that exercise.
Document storage and a statutory retention policy are separate questions. Confirm applicable requirements with the responsible professional; this guide does not prescribe retention periods.
